Travel and Entertainment Procurement Card

Travel & Entertainment Pcard (T&E Pcard) - The T&E Pcard is a procurement card restricted to travel and entertainment purchases approved by University policy (i.e., airfare & rail tickets, conference fees, rental car fees, lodging, other associated travel expenses, and business lunches).

T&E Pcard Benefits - American Express (credit card issuer) provides insurance coverage, at no cost to the University, for the named cardholder who uses the T&E Pcard to pay for their travel expenses.

Insurance Provided:

$500,000 common carrier travel insurance for travel purchased for any scheduled air, land, or water conveyance (licensed for the transport of passengers for hire)

Should I get the T&E Pcard even if I have a Purchasing Pcard? - The decision is up to you and your Approving Official. However, the benefits outweigh the inconvenience of possessing two Pcards that require separate review of Pcard charges each month.

If I choose not to get the T&E Pcard, can I continue to travel using my Purchasing Pcard? - Not at the present time. The current CSU Systemwide agreement negotiated with American Express only includes the travel insurance coverage for the T&E Pcard.

When the agreement comes up for renewal in 2012 we will request a "one card" option for purchasing and travel that includes the insurance coverage outlined.

Each card, though similar in design, has different features to assist you with determining which card is being used.

  • The Purchasing Pcard has a blue background and has "Corporate Purchasing" printed on it.

  • The T&E Pcard has a green background and "Corporate" printed on it.

How to get a T&E Pcard - Submit a completed Pcard/Office max application (available at the Contracts & Procurement web site at http://finance.fullerton.edu/Procurement/Forms/) to the Procurement Card Program, CP-300. Please ensure that you select the T&E Pcard check box when completing the form.

When the new T&E Pcard arrives, you will be contacted for pick up. As a current cardholder, you are not required to attend any additional training to have the T&E Pcard.

However, if you would like a review of the policy and procedures of the Procurement Card Program, you are invited to attend the next scheduled Pcard Cardholder training.
